Set up a new workspace in a few questions, then build your first agent in a guided chat with Beam AI.
A new workspace does not start empty. A short setup asks what your company does, how big your team is, and what your role is, then hands you to a chat where Beam AI builds your first agent from those answers. You leave with a working agent and its first test task under way.
Sign up → Workspace setup → Onboarding chat
Guided onboarding runs for every workspace you create, not only the first one. Choosing Create or join workspace from the workspace picker later takes you through the same setup and chat. Joining a workspace you were invited to skips it.
When you sign up. Once you are signed in and have no workspace yet, Beam opens the setup straight away.
When you create another workspace. Open the workspace picker in the top-left corner and choose Create or join workspace.
If someone has already invited you to a workspace, the setup first shows Join a workspace at Beam with a card for each invitation. Selecting Join takes you into that workspace with no setup and no chat. Selecting Create new workspace starts the setup for a workspace of your own.
Three suggestions based on your role, plus Something else…
The first question shows your workspace name in place of your workspace, and the role question addresses you by your first name. The last question changes with your role. A marketer sees Content drafting, Campaign tracking, and Lead scoring. Someone in finance sees Invoice processing, Reconcile transactions, and Financial reports. Choosing Something else… opens a text box where you describe the agent in your own words.
Your answers are saved with the workspace when it is created, and Beam AI starts the onboarding chat from them. You do not face an empty message box: Beam AI speaks first, greets you, and works from the agent you picked. While it prepares that first message, the chat shows short status lines such as “Going through your answers to understand how you work…”.From there the chat has one job, which is building that agent. Beam AI may ask you questions about how the work is done today. If the agent needs an integration, such as a mailbox or a CRM, Beam AI asks you to connect it inside the chat before it creates the agent, so the agent is never built against a tool that is not connected.
When the agent is built, Beam AI posts a short summary of what it does, with a View Agent button under it. Selecting the button ends onboarding for the workspace and opens the agent’s Flow, with the Beam AI panel open beside it.The panel starts a new conversation on its own with the message “My agent is ready. Run a first test task with a sample payload and show me the progress”. Beam AI then runs that first task and reports its progress in the panel, so you see the agent work before you change anything.
The workspace is created at the moment you answer the last question, not when you name it. What happens if you leave depends on which side of that moment you are on.
You leave
What happens
During the questions
Nothing is created and your answers are not kept. You start the questions again next time.
After the workspace is created
The workspace exists, but onboarding is still open. Opening any page of that workspace takes you back to the onboarding chat. In the same browser, the conversation picks up where you left it.
By selecting Skip in the chat
Onboarding ends for that workspace. You land on the workspace home and the chat does not come back. No agent is built.
Onboarding keeps bringing you back to the chat until it is finished, because the workspace records whether onboarding is done. Selecting View Agent or Skip are the two ways to finish it.
A new account starts on Let’s start with your profile. The top-left corner shows Sign out until you have a workspace, and Back to workspace after that. The top-right corner shows the email you are signed in with.
1
Add a picture
Under Upload a profile picture, add a photo if you want one. It is optional.
2
Enter your full name
Fill in Full name. Beam uses your first name later in the setup.
3
Select Continue
Your profile is saved and the workspace setup opens.
On Create a workspace at Beam, fill in Workspace name. Name it after your company. You can change the name later. Use Icon to upload a logo, or leave it and Beam shows the workspace’s initials. Then select Next.
Sign up → Workspace setup → Create a workspace at Beam
2
Pick your industry
On What does your workspace do?, select every option that fits, then select Next.
3
Pick your team size
On How big is your team?, select the closest range, then select Next.
4
Pick your role
On What’s your role?, select the closest match, then select Next. The suggestions on the next screen come from this answer.
5
Pick what your first agent should do
On What should your first agent do?, select one suggestion. If none fits, select Something else… and describe the agent in the box that opens.
Sign up → Workspace setup → What should your first agent do?
6
Select Next to create the workspace
Beam creates the workspace with your answers and shows “Workspace created. You can now invite others to this new workspace”.
Check your answers before this step. Once the workspace is created, Back is gone and the answers cannot be changed from the setup.
The setup ends on Invite members to your workspace. You can invite people here or later from workspace settings.
1
Add email addresses
Type each address into Enter email. You can add several.
Sign up → Workspace setup → Invite members to your workspace
2
Select Invite members, or Skip
Invite members sends the invitations and opens the onboarding chat. Skip opens the chat without inviting anyone.
Everyone you invite from here joins with the Member role. To give someone a different role, change it afterwards in workspace settings, as described in Roles and Permissions.
The chat opens with Beam AI in the header and Skip on the right. Wait for Beam AI’s opening message. It is written from your setup answers, so there is nothing to type first.
2
Answer any questions Beam AI asks
Beam AI may build the agent straight from your setup answers, or ask about how the work happens today. Reply in the message box at the bottom.
3
Connect any integrations it asks for
If the agent needs a tool you have not connected, Beam AI asks you to connect it in the chat. Follow that prompt to connect the tool. Beam AI waits for the connection before it creates the agent.
4
Select View Agent
When the agent is built, Beam AI describes what it does and shows View Agent. Select it to open the agent.
After View Agent, the agent’s Flow opens with the Beam AI panel on the right. Beam AI starts a first test task with sample data and shows its progress in the panel. You do not need to type anything.
Onboarding chat → View Agent → Flow
2
Follow up if the task needs you
If the task stops for input or fails, Beam AI says so in the panel and points you to the task for the details. Resolve it there, then carry on building in the Flow.
Every screen in the setup needs an answer before Next works:
On Create a workspace at Beam, fill in Workspace name. It can be up to 30 characters.
On a question screen, select at least one option.
If you selected Something else…, type something in the box that opened.
My full name is not accepted
Full name takes letters and spaces only, up to 50 characters. Remove any numbers, accents or symbols and select Continue again.
Every page of my workspace sends me back to the chat
Onboarding for that workspace is not finished yet. Complete the chat and select View Agent, or select Skip at the top of the chat. Either one stops the redirect.
I closed the tab during the questions
The workspace is only created when you answer the last question, so nothing was saved. Start again: sign in, or choose Create or join workspace from the workspace picker.
Invite members is greyed out
Add at least one valid email address in Enter email. To move on without inviting anyone, select Skip.
